Who we are

ReceptionDesk is a virtual receptionist service for small businesses, operated by Dicksoft LLC in Virginia. We answer inbound calls on behalf of our clients and provide them with call summaries, transcripts, recordings, and insights through a secure dashboard.

What information we collect

When calls are routed through ReceptionDesk on behalf of a client business, we may collect and store the following:

Caller information
Name, phone number, and any information the caller shares during the call including appointment requests, service inquiries, and personal details relevant to the call purpose.
Call data
Recordings, transcripts, summaries, call duration, call type, and priority classification.
Client information
Business name, contact details, billing information, and account preferences collected when a business signs up for ReceptionDesk.

How we use it

Caller information is collected solely to provide the call answering service on behalf of the client business you called. We use it to generate call summaries and transcripts for that business, notify them of urgent calls, and maintain a call log in their dashboard.

We do not sell caller data. We do not use caller data for advertising. We do not share caller data with any party other than the client business whose line you called and the service providers listed below.

Who we share it with

To operate the service we work with the following third-party processors. Each handles data only as necessary to perform their function:

Voice infrastructure provider
Provides the telephony and transcription infrastructure that handles inbound calls and generates call transcripts.
Supabase
Provides secure cloud database storage where call records, transcripts, and client account data are stored.
Resend
Handles transactional email delivery including call notifications and summaries sent to client businesses.
Authorize.net
Processes payments for client subscriptions. Payment data is handled directly by Authorize.net and is not stored by ReceptionDesk.
Zapier
Used by some client businesses to route call data into their own tools such as CRMs. Data is only sent via Zapier when a client has explicitly configured this integration.
Vercel
Hosts the ReceptionDesk web application and dashboard.

How long we keep it

Call records, transcripts, and recordings are retained for as long as the client business maintains an active ReceptionDesk account. When a client account is closed, their data is deleted within 30 days unless a longer retention period is required by law.

Your rights under Virginia law

If you are a Virginia resident, the Virginia Consumer Data Protection Act gives you the right to:

  • Know what personal data we hold about you.
  • Request a copy of your data.
  • Request correction of inaccurate data.
  • Request deletion of your data.
  • Opt out of any sale of your data — we do not sell data, but this right applies regardless.

To exercise any of these rights, contact us at sales@dsio.io. We will respond within 45 days as required by Virginia law.

Cookies and website data

The ReceptionDesk website and dashboard use standard analytics and session cookies to operate the application and understand how it is being used. We do not use third-party advertising cookies.

Changes to this policy

If we make material changes to this policy we will update the effective date at the top and notify active clients by email.
